Phasing a team's arrivals in Málaga under one corporate agreement

Project teams rarely arrive on the same day. This guide explains how to plan staggered team relocation housing in Málaga — sequencing move-in dates, holding residences across phases, and keeping it all on one contract and one invoice.

Start with the arrival sequence, not the headcount

When a team of six moves to Málaga, the number that matters least is six. What determines whether the accommodation plan works is the order and spacing of arrivals: who lands first to open the site or the office, who follows two weeks later, who comes in at month three when the build phase starts. Staggered team relocation housing is the practice of holding the right set of residences across that whole sequence, rather than booking each person separately as their start date is confirmed.

Most mobility teams discover the problem late. The first two employees are placed easily. By the time the next three dates are confirmed, the building that suited the first pair has nothing comparable available, and the team ends up split across three suppliers, three invoice formats and three sets of house rules. The fix is unglamorous: agree the arrival phasing early, even in draft form, and contract for the shape of the project rather than for the first person on the list.

Build a phasing plan the supplier can actually hold

Before approaching any provider, write down what you know and mark clearly what you do not. A workable phasing plan for staggered arrivals usually contains:

  • Confirmed arrivals — name or role, approximate start date, expected duration, and whether the employee is coming alone or with a partner or family.
  • Probable arrivals — roles that are budgeted and expected but not yet recruited or approved, with the month they are likely to land.
  • Rotation slots — a residence used by a succession of people rather than one occupant, common for auditors, technical specialists or head-office visitors on short rotations.
  • The anchor date — the point by which the full team must be in place, which is usually driven by the project rather than by HR.

This matters because it tells the operator which residences to hold open and which can be committed. A provider who knows that a two-bedroom residence is wanted from March can plan around it. A provider who only hears about it in late February cannot.

Match residence type to the person, not to the phase

Staggered arrivals tempt teams into treating accommodation as interchangeable, but the first arrival and the fifth usually need different things. A project lead arriving alone with heavy call commitments across time zones needs quiet and a reliable place to work. An engineer arriving with a partner needs a second bedroom and a kitchen that supports normal weekly living rather than reheating. A pair of colleagues arriving together may share a two-bedroom residence comfortably if each has an en-suite, and be miserable if they do not.

At Palacete 10 the five residences in the 1908 villa differ in a way that makes this allocation straightforward: four have two en-suite bedrooms and a private terrace, two of those adding a guest WC, while Toro has one en-suite bedroom, a private terrace, a private home office and is accessible. Across the building there are nine en-suite bedrooms and five secure parking spaces. Each residence is furnished with Bolia interiors, premium beds, a fully equipped kitchen and an in-unit washer and dryer, and each has its own secure Wi-Fi network off the building's central fibre. There is also a residents-only work suite on site, open around the clock, which gives a phased team somewhere to overlap that is neither a bedroom nor a rented office. You can compare the layouts on the five residences and what each includes page.

One agreement across the whole phase

The administrative case for consolidating staggered team relocation housing under a single contract is simple. One supplier means one set of terms to review with legal, one counterparty for your procurement system, and one monthly VAT-compliant invoice for finance instead of five arriving on different dates in different formats. When a start date slips by three weeks — and on project work it usually does — you are amending one agreement rather than renegotiating with several landlords who have no interest in your project timeline.

It also removes an inequity that teams notice. When people are housed through separate bookings, the person who arrived first typically has the best accommodation and the person who arrived last has whatever was left. Housing a team in one building under one agreement puts everyone on the same standard, with the same access arrangements and the same point of contact for problems.

Palacete 10 contracts company to company with the owner, Vamoz Marbella SL, operating on the Costa del Sol since 2013. Multiple residences can sit under a single corporate agreement, and all five can be taken together for exclusive use where a project team wants the whole building. Lease terms are agreed per contract rather than fixed to a standard length, so the arrival phasing and the end dates can be set to the project. A Spanish bank account is not required. The leasing and invoicing questions page covers the contractual detail in full.

Make the actual move-in days low-effort

Phased arrivals multiply the number of check-ins, which is where handover logistics become a real cost. Keys collected from an agent during office hours do not survive a flight delay. Smart keyless entry removes that dependency entirely: credentials are issued ahead of arrival and the employee lets themselves in, whatever the hour. Utilities already active, internet working and a furnished residence ready on day one mean the employee can work the following morning rather than spending their first week on connections and contracts.

Location does the rest of the work for a phased team. Palacete 10 sits one minute's walk from public transport and from everyday shops, cafés, supermarkets and pharmacies, fifteen minutes' walk from the historic centre, ten minutes from María Zambrano station, sixteen minutes from Málaga Airport and nineteen minutes from Málaga TechPark — a practical consideration when arrivals and head-office visits are spread over months. The neighbourhood and travel times are set out in detail.

Allow for the dates you do not yet have

Teams with recurring or rolling requirements should ask about a framework agreement rather than contracting phase by phase. Pre-agreed terms let you secure a residence quickly when a new assignment is approved, without starting the review cycle again. It is the right structure when you know the pattern of your demand but not the individual dates — which is the normal condition for most project-driven mobility programmes.

Whatever the structure, give the supplier your best current view of the sequence and update it as it firms up. Operators can hold space for a phasing plan they can see. They cannot hold space for one they have not been told about.

Send us your arrival sequence, however provisional, and we will tell you what can be held across it. Enquiries are answered within 24 hours. Request a corporate proposal.
