How to pay Spanish rent without a Spanish bank account
A practical guide for HR and Global Mobility teams paying for a Málaga placement from abroad: SEPA transfers, supplier onboarding, VAT-compliant invoicing and the paperwork your finance department will actually ask for.

You can pay Spanish rent without a Spanish bank account
For most corporate placements, you can pay Spanish rent without a Spanish bank account, and you should not let banking logistics sit on the critical path of an assignment. Spain is inside the Single Euro Payments Area, so a euro transfer from a company account in Germany, the Netherlands, Ireland or any other SEPA member reaches a Spanish supplier as a domestic payment would. From outside the euro area — the UK, Switzerland, the United States, the Gulf — the payment travels as an international transfer instead, which changes the fees and the value date but not the ability to pay.
The question that actually delays placements is rarely whether the money can move. It is whether the supplier is set up in your procurement system, whether the invoice will pass your accounts payable checks, and whether the person signing the lease is the company or the employee. Those three items are worth resolving before you confirm an arrival date.
What supplier onboarding usually requires
A Spanish corporate housing provider or landlord is, from your finance department's point of view, an ordinary foreign supplier. Onboarding typically needs:
- The legal entity name and Spanish tax identification number (CIF/NIF). This is what your team will use to verify the supplier exists and is trading.
- Bank details in IBAN and BIC format. Spanish IBANs are 24 characters and begin with ES. Ask for them in writing on letterhead or from a verified contact, not by unconfirmed email, and apply your usual supplier-fraud checks.
- A signed contract naming your company as tenant. Company-to-company contracting is what allows consolidated billing and a single point of contact.
- A sample or first invoice showing the required fields. Spanish VAT invoices carry the supplier's tax number, your company's name and tax number, an invoice number and date, the taxable base and the IVA applied.
- Confirmation of the legal framework for the stay. Under Real Decreto-ley 29/2026, corporate placements in Spain sit under Title II of the Ley de Arrendamientos Urbanos as temporary housing (arrendamiento de vivienda temporal), rather than the old seasonal rental (arrendamiento por temporada) under Title III, which no longer applies to residential accommodation. The contract must state an express, demonstrable reason for the temporary stay; your Spanish legal counsel should confirm how this applies when a company contracts on behalf of an employee occupant.
If your organisation requires a self-billing arrangement, a purchase order reference on every invoice, or a specific supplier questionnaire, raise it at proposal stage. Retrofitting a PO number onto an invoice already issued is slow and irritating for everyone.
How the transfer itself works, and what to watch
SEPA credit transfers from a euro account are straightforward: same-day or next-day value, no correspondent bank in the middle, and charges shared under the standard SEPA rules. From a non-euro account you are making a cross-border payment, and three things deserve attention.
First, the charge instruction. If your bank sends the payment with charges deducted from the amount, the supplier receives less than the invoice total and your ledger shows a short payment that someone has to reconcile. Ask treasury to send it so the beneficiary receives the full invoiced amount.
Second, the exchange rate and who bears it. Rent invoiced in euros paid from a sterling or dollar account means the cost to your company moves with the rate. Some mobility teams hold a euro account precisely for this, others accept the variance and budget a tolerance. Either is defensible; deciding in advance is better than discovering it at the third invoice.
Third, the payment reference. A reference that names the residence, the month and the invoice number makes reconciliation trivial. A reference containing only the employee's surname does not.
Budget for the transfer to take longer than a domestic payment, particularly across a weekend or a Spanish public holiday, and confirm current fees and cut-off times with your own bank rather than relying on published generalities.
Where the employee's paperwork does and does not matter
An arriving employee will usually need a Spanish tax identification number (NIE) at some point — for a local employment contract, social security, a mobile contract or a personal bank account. That process runs on its own timetable and depends on nationality, visa route and the consulate or police station involved. Verify the current requirements with your immigration adviser or the relevant Spanish authority, because they change.
What matters here is that housing does not have to wait for it. When the company is the tenant, the contract, the invoicing and the payment all sit at corporate level, and the employee's personal banking status is not a gating factor. This is the practical advantage of a corporate lease over a private one, and it is a large part of why relocation teams choose corporate housing over a private letting or a serviced platform booking.
How this works at Palacete 10
We contract company to company and issue one monthly Spanish VAT (IVA) invoice per agreement, formatted for corporate accounting. International corporate transfers are accepted, so there is no need to open a local account before a placement can start — the ability to pay Spanish rent without a Spanish bank account is designed into the model rather than negotiated case by case.
Where several people arrive at once, residences can be billed together or split per department, and a framework agreement is available for ongoing placements. Utilities are managed by us and active from day one, so there are no separate supplier accounts for your team to set up or reconcile. Lease terms are agreed per contract. Our FAQ covers invoicing, contracting and the legal framework in more detail, and the five residences and what each includes are set out in full.
A workable sequence
- Confirm the placement dates and the number of residences needed.
- Request a proposal and the supplier onboarding pack in the same message.
- Run supplier verification and bank-detail checks in parallel with contract review.
- Sign, then schedule arrival — with keyless access there is no physical handover to coordinate.
- Set the standing payment instruction with a clear reference before the first invoice falls due.
Done in that order, paying from abroad adds days to the process, not weeks.
